Whether you use your home office space as your main office to run your business from every day or just as an extra hub for home-based business such as bookkeeping and accounts, an untidy or cluttered workspace can prevent you from working efficiently. Piles of files, tangles of wires and dirty coffee cups not only distract your attention, but also look unprofessional and hardly inspire you to get things done.
Create an Organizational System
Create a Work Flow
It is all very well having a neat and tidy desk, however if you don’t have a workflow system in place, it can become a cluttered mess very quickly. Create a workflow system, with work that needs to be done on one side of the space in inbox trays or a neat pile on your desk, and filing cabinets or drawers for work done on the opposite side of the space.
Make ‘To Do’ lists and stick them up near your workspace or computer – a pin board is great. This way you can keep track of work that needs to be done and strike it off the list as you complete the task.
File or Toss
Get into the habit of filing regularly as this will prevent the piling up of papers and files and keep your workspace clear. Organize your filing cabinets so they are easy to use and toss anything you don’t need away, from papers and documents to old magazine, bent paperclips, and pens that don’t work. Remember to recycle!
Curb Your Cables
Tangles of cables look messy and can wreak havoc if something goes wrong and needs to be fixed…trying to sort through a nest of wires is just not fun. Route all your cables and wires behind your desk so they are out of the way, and cluster them together with cable ties, Velcro straps, or cable binders to keep them neat and tidy.
Ditch Unnecessary Equipment
Equipment such a printers, faxes, and scanners can take up huge amounts of space, so ditch them and get an all-in-one, which can be tucked into a smaller space. Unless you are a designer, a massive computer monitor is also unnecessary – get a smaller monitor or even a laptop, which can be closed and stored away when not being used.
Organize your PC
A neat office space defeats the purpose of working efficiently if your PC is a mess. Organize your computer files so they are easy to access and use. Back everything up online, in the cloud servers, or on a hard drive and store it somewhere safe, so that you have a back up of all your work. Link your other mobile devices, such as phones and tablets to your computer and keep all your information together in one system.
